Approved at the October 18, 2021, and amended at the December 20, 2021, ACA SMR GC Business Meeting. This position is to be reviewed after 90 days.
Term: 6 months, with an option to renew once for an additional 6 months
Duties/responsibilities:
Accountable to the SMR Group Conscience Business Meeting, the Service Team Co-Secretaries:
- Are familiar with the SMR Trusted Servants’ Commitment (the basics)
- Are responsible for creating, maintaining and leading a small team (i.e., minimum 3 and up to 5 people) of trusted servants who are responsible for coordinating those doing service at morning meetings, namely: technical hosts, meeting chairs, room hosts/room moderators, and newcomer-greeters
- the coordination function includes: inviting people to perform service; training, scheduling and connecting them with each other as needed; and, Zoom account settings
- Report at monthly business meetings
Helpful Qualities:
- The Co-Secretaries are elected officers
- Knowledge of and skill in scheduling human and meeting resources using computer software, e.g., Microsoft Excel
- Knowledge of and skill in hosting virtual meetings using Zoom software
Suggested practices:
A) Scheduling
- Updates a schedule of service assignments as necessary
- Makes the service schedule accessible
- Communicates upcoming and current service needs
- Responds to service inquiries
B) Zoom account
- Ensures that morning meetings are scheduled in the Zoom calendar
- Coordinates changes to Zoom settings as per software updates and/or group conscience
C) Training
- Updates training materials based upon lessons learned
The Service Team is generally responsible for:
- Inviting meeting participants to perform service at the morning meeting
- Training participants to perform service in the morning meeting and for other meetings which are hosted on the group’s Zoom account (trusted servants), i.e., technical host, meeting chair, room host, room moderator, newcomer-greeter positions
- Maintaining a schedule of trusted servants (setting out who is performing service in each position on each day of the week) and supporting a healthy rotation of service
- Maintaining Zoom account settings in accordance with software updates and/or group conscience
- Sending and responding to email/chat as needed
- Coordinating with the web servant to publish information on the group’s website
- Reporting on these functions at monthly business meetings
- Drafting policy/procedures/helpful practices on matters within its area of responsibility
- Other matters that may be identified from time to time

Being willing to surrender the position in which I serve in the interest of unity and to provide the opportunity for others to serve; to avoid problems of money, property, and prestige; and to avoid losing my own recovery through the use of service to act out my old behavior, especially in taking care of others, controlling, rescuing, being a victim, etc.
