Title: Technical/Scheduling Secretary

Term: 6 months, with an option to renew once for an additional 6 months

Duties/responsibilities:

Accountable to the SMR Group Conscience Business Meeting, the Technical/Scheduling Secretary:

  • Is responsible for the schedule including service assignments
  • Is responsible for coordinating the training of Tech Hosts and L/Ms
  • Is responsible for the Zoom account, settings, scheduling the morning meeting
  • Chairs the Technical Committee to support the Tech Hosts and L/Ms
  • Reports at monthly business meetings

Helpful Qualities:

  • The Secretary is an elected officer
  • Knowledge of and skill in scheduling human and meeting resources using computer software, e.g., Microsoft Excel
  • Knowledge of and skill in hosting virtual meetings using Zoom software

Suggested practices:

A) Scheduling

  • Updates a schedule of service assignments as necessary
  • Makes the service schedule accessible
  • Communicates upcoming and current service needs

B) Zoom account

  • Ensures that morning meetings are scheduled in the Zoom calendar
  • Coordinates changes to Zoom settings as per software updates and/or group conscience

C) Training

  • Updates training materials based upon lessons learned

    Hi, this is Leslie. Thanks for all the hard work in making all of these position descriptions. It’s awesome.

    So, my observation is that this position, as it now stands, doesn’t seem to be working as well as it could, and I’m not sure why. There are gaps in the schedule and several people have gotten very upset about their positions/assignments.

    I think that perhaps this role is so important, it shouldn’t be combined with other major roles, like Tech Host or Chair.

    I think that perhaps, Zoom secretary and Scheduling secretary should be separate roles, with different people performing each role.

    And perhaps that those individuals should only lead/moderate a breakout room at most, but not one of the more front-facing roles, like Chair or Tech Host.

    I have been managing Wednesday as Tech Host and it actually works very well for the day’s Tech Host to staff their breakout rooms. Wednesday doesn’t have any gaps in its service roles.

    I think this role description would benefit from more revision, so I recommend that this position description NOT be brought forward for ratification at the next business meeting.
